File sharing is an integral part of routine office tasks. We need to create, share, distribute, publish and allow others to edit files. DropBox is a very useful tool in this regard.

Drop Box is a hosting service operated by DropBox, Inc that offers cloud storage, file synchronization and client software. DropBox allows users to create a special folder on each of their computers, which DropBox then synchronizes so that it appears to be the same folder (with the same contents) regardless of which computer is used to view it. Files placed in this folder also are accessible through a website and mobile phone applications.

Now, what has Vtiger got to do with Drop Box?

Simple, you can share folders along with your other colleagues who work on using or customizing vtiger. It will be a common place to view each others’ work.

DropBox is a great service that helps you keep your files safe, synced and accessible from anywhere. You can remotely set up DropBox in just one click for yourself and for your colleagues too who are working on the same thing like vtiger.

DropBox is like a regular folder on your computer where you can keep stuff, but has a magical twist – every file that you put in your DropBox is automatically backed up to the cloud to keep it completely safe and secure.

Once you start putting your files in DropBox, the files will be backed up and kept safe automatically, you’ll be able to access them from any computer or smartphone and you can easily share stuff with other people.

1. How do I Save a file to Drop Box?

Let’s start with how to save a file to Dropbox.
When you save a document, photo or whatever, you should save it to DropBox. For example, when you click ‘Save’ in Microsoft Word, you’ll see a list of folders on the left hand side. Select ‘Dropbox’ from the list and press ‘Save’.

2. How to add an existing stuff to the Drop Box?

You can simply drag whichever files you want into your DropBox folder.
Or, if you don’t like dragging stuff, you can right-click the file you want to move, choose ‘Copy’, go to your DropBox, right-click and select ‘Paste’.

Dropbox will take care of syncing and storing your stuff. While files are syncing you can keep using the computer however you wish, it all happens in the background. Once you see a green check mark next to the files you put into Dropbox, it means your stuff is backed up and accessible from anywhere.

 3. How do I access files that I have put into the Drop Box?

From now on you can always view and work on files from your DropBox. You can easily access the files you’ve put in DropBox by clicking on the DropBox icon on your desktop or the DropBox icon in the system tray (next to the clock).

Once you click on the icon, your Dropbox folder will open up and you’ll be able to access your files just like you do in any other folder on your computer.

4. Can I access my files from a different computer?

Yes! If you’re away from your computer you can still access everything you’ve put in your DropBox. Simply browse to www.dropbox.com from any computer and log in with your email and password to see your folders and files. (If you don’t know your password you can easily reset it at https://www.dropbox.com/forgot).

 5. Can I access files from my Smart phone?

Yes! If you have a smartphone (iPhone, Android or BlackBerry) you can download the DropBox app from your app store. Once you have the app, log in with your account details to access your DropBox files. With DropBox on your smartphone you’ll have all your files available to you on the go whenever you need them.

6. Can I share folders with others who have DropBox account?

If you right-click a folder inside your DropBox, you can click “DropBox” and then choose “Share this folder” link. Input the email addresses of people you’d like to share the folder with. Once they approve your request, you can all put files in this shared folder and it will be synced on everyone’s DropBox. You can use it to collaborate on documents, share photos with family members and more…

This is exactly how you can transparently communicate with your vtiger team, share work folders and complete tasks on time.

Keep in mind that you can store up to 2 GB of stuff in your Dropbox for free, plus you can get more free space added to your Dropbox by inviting other people. The more number of people accept your invitation, the more space you get FREE from DropBox.

Happy DropBoxing….
