Vtigress team did a thorough business analysis and worked with the technical and business manager at Client’s location to arrive at a detailed set of business requirements and implemented a total solution based on Vtger5.3. We created more than 40 custom modules to suit all types of equipments, their accessories and their pricing. The type s of products and services Client offered were also made available in the crm. Workflow events were defined as per business operations cycle of Client and many were pre-scheduled as cron jobs. The purchase cycle was kept track of and billing was totally automated by generation of invoices as pdf files. Emails were integrated and the installation engineers were able to use their handheld devices to access crms and mail status to the back office within Client office premises from anywhere around Norway.

Client was set up in 1993 at Hyderabad, to help doctors teach and learn medicine making full use of computer graphics and multimedia technologies. Vtigress team proposed an open source Vtiger solution to handle Client’s backend needs. Vtiger CRM would maintain all customers data along with call details of each customer. Vtiger CRM would also maintain reports on customers on a daily Basis for college wise details or call status-wise. Asterisk server was integrated with the Vtiger CRM and soft phones installed on agents’ desktop to enable then to make calls directly through the CRM. All details of the call related notes were made by the agents within each call record so that this information was accessible to other agents in shifts whenever they called the same customer next time.

Employee module allows the staff to create and update the employee profile for each employee including their photo, resume, contact details etc. The CRM admin needs to create the user in the CRM and simultaneously update the employee profile after the employee record is created. And we used existing default modules Marketing & Sales Management, Project Management and System Administration. Email server was also configured within the CRM. By all these modules this would complete a communication cycle with the employees and HRMS and allow the CRM users i.e. Client employees they may be in any designation to know the status at any given point of time.

Vtigress team studied the requirements in consultation with the Client team. After careful discussion with all the stakeholders and reviewing the existing documentation, proposed the following solution to Client team to help them connect with the distributors on a real time basis thereby increase the reach of the company and provide more reliable and efficient information to the distributors. Vtigress suggested and implemented the solution based on open source CRM Vtiger to Client team. The entire distributor directory was imported into Vtiger and made available to the CRM users. Each distributor was given a portal login from where he could apply for distributorship at Client, upload any required documentation, fill any indent form, order any seeds and know the status of his order transit. Vtigress team also built a communication platform based on telephone calls, emails and SMS for the entire distributor network of Client. For telephone calls, open source telephony server elastix based on asterisk PBX was configured and FXO card was used. For SMS integration, services of a SMS gateway service provider were hired who provided us with a set of pre approved templates for transactional SMSes. There was also a provision made to get incoming SMSes into the CRM recorded in a list view and which in-turn would fire a workflow to pump another outgoing SMS based on certain condition. Email server was also configured within the CRM. This would complete a communication cycle with the distributors and allow the CRM users to know the status of any distributor at any given point of time.
